WHOLESALE PARTNERSHIP COORDINATOR

We are seeking a Wholesale Partnership Coordinator to manage our wholesale relationships, streamline order processes, and support our sales efforts. This role is key to building and maintaining successful wholesale partnerships and ensuring a seamless experience for our retail partners. You’ll be detail-oriented, proactive, and bring a personable approach to customer service, ready to adapt in a dynamic small business environment.
responsibilities
Wholesale Partner Relationship Management
- Develop and maintain strong relationships with wholesale partners, responding to emails and calls promptly.
- Track all communication, orders, and updates in our CRM, ensuring information is always up-to-date.
- Manage zip code protection spreadsheet to respect exclusivity for retail partners.
- Assist in planning targeted marketing emails for our wholesale list, focusing on retention and growth
- Conduct proactive outreach to build relationships, follow up on product performance, and suggest swaps for better-selling items.
- Provide updates on upcoming trade shows and other opportunities via email and phone.
- Handle inquiries from new potential wholesale partners, sending catalogs and email introductions, and confirming zip code availability.
Wholesale Order Management
- Process and enter orders received through various channels (email, Faire, and phone).
- Coordinate with the studio to start production, ensuring any specifics (e.g., new customer details) are noted.
- Update customer information in Shopify, including address changes, contact details, and packaging notes.
- Monitor and update orders as needed, including quantity adjustments and deposit updates.
- Send order confirmations, reminders when entering the production window, and final invoices as orders near completion.
- Manage deposit collection, notify the studio upon payment, and handle final charges and invoicing in Shopify.
- Create labels and packing slips in excel for packaging orders
- Oversee customer returns, coordinating with the studio to efficiently handle incoming repairs and returns.
Wholesale Sales and Account Management
- Regular outreach to existing accounts, checking in at least quarterly to encourage reorders and foster strong relationships.
- Maintain seasonal account status, coordinating zip code protection for each partner’s designated area.
- Keep wholesale partners informed of ship times, small order deadlines, and seasonal priorities (Christmas, Valentine’s Day, Mother’s Day).
- Conduct research to identify new retail accounts, reaching out with catalogs and marketing materials to increase brand visibility and grow our wholesale presence.
- Assist in determining top selling products twice a year.

- Customer service or retail experience is a plus.
Software & Technology
- Proficiency in Microsoft Word/Excel or Google Docs/Sheets
- An aptitude for learning new software.
- CRM and Shopify experience is helpful but not required.
Position Details
